Probiqa handles invoices where your company already works β in Microsoft 365. An incoming invoice lands in a monitored mailbox, Probiqa reads it, routes it to the people who should decide on it, and your accountant receives a document ready to be booked. Outgoing invoices, delivery notes and quotations are created in the same application, on the same list of business partners.
Your data goes nowhere. The application runs in your tenant, stores into your SharePoint and follows your permissions.
The centre of gravity: capture and approval
Plenty of tools can issue an invoice. But the work is not in issuing β it is in the journey from e-mail to the general ledger.
Three-layer reading. Probiqa first looks for structured data: embedded XML, then a QR code. Only when it finds neither does it reach for AI extraction via Azure Document Intelligence. On top of that runs our own layer of Czech and Slovak rules β payment reference formats, company and VAT number formats, VAT rates, tax point dates. General-purpose AI does not know these.
Approval with roles that actually hold. Who may approve what is enforced server-side through Entra ID roles, not by hiding buttons in the browser. Multi-stage approval, absence delegation, escalation.
Supplier verification. Every supplier is checked against the Czech and Slovak business registers and VIES. And one thing we do deliberately: bank details are never taken automatically from an invoice. A fraudulently altered account number in a PDF is the most common way a company loses money β here it does not get through.
An audit trail that holds up. An immutable record of every operation: who saw what, who approved, when, from which device. Plus an Audit Dashboard.
Issuing
Quotation β delivery note β proforma invoice β invoice β credit note. All with their own numbering series assigned by the server, so two people never issue the same number.
A delivery note is a document in its own right, not a printout derived from an invoice. It is created before the invoice and can be invoiced from β including merging several delivery notes into a single invoice. If you deliver before you invoice, this is a difference you will notice.
Also: an item price list with suggestions, recurring invoices, overdue reminders, ΔNB and ECB exchange rates at the tax point date, dual-currency documents, ISDOC export and accounting pre-assignment.
For accounting firms
An accounting unit here means one company registration number and one set of books β not one mailbox, not one user. A firm serves any number of clients from one place.
Each client has their own site collection with their own data, numbering series, currency and audit trail. Clients cannot see one another. When a relationship ends, one site is removed and the others are untouched β a clean GDPR exit with no database archaeology.
Cross-unit overviews show, across all clients, what is awaiting approval and what is overdue.
AI is included, not an add-on
Competitors charge per extracted invoice, regardless of tier. We do not.
AI extraction is part of the price. Each tier includes a monthly page allowance that covers normal operation with room to spare β 300 pages on Business, 1,000 plus 150 per additional unit on Bureau. Beyond that it is β¬0.02 per page, still an order of magnitude below the market norm.
We can afford this because we build on Azure Document Intelligence rather than reselling someone else's service. And if you want extraction itself never to leave your infrastructure, Document Intelligence can run in your own Azure subscription β at a lower monthly price.
Your data stays with you
This is not a marketing claim but an architectural decision. No external database, no extra cloud account, no hidden data flow between your environment and ours. The application is deployed into your tenant and stays there.
It inherits your permissions, your sensitivity labels, your retention policies. If your tenant is configured for ISO 27001, NIS2 or GDPR, Probiqa operates within those boundaries β because it never steps outside them.
